What to send for a useful PCBA quotation

A practical preparation checklist for your first conversation with a PCB assembly supplier.

1. Describe the build

Include the product application, board revision, first-build quantity and expected repeat quantities. Give a target date and explain whether it is a planning preference or a fixed project milestone.

2. Assemble a consistent file package

  • BOM: manufacturer, exact part number, quantity, reference designators and do-not-fit items.
  • PCB data: Gerber files and the board specification, with panel details if available.
  • Placement file: coordinates, rotation, board side and units.
  • Assembly drawings: orientation, polarity and any special instructions.

Use a clear revision and release date. If one file is being updated, tell the supplier rather than leaving them to choose between versions.

3. Define the material arrangement

Identify the parts you will supply, their quantities and when they will be available. For sourced parts, state whether alternatives are allowed and who can approve them.

4. State what happens after assembly

Specify programming, functional testing, conformal coating, labels and packaging if needed. Explain whether a test procedure or fixture already exists and which party will provide it.
